Minutes of meeting held on 30th August 2007

 Present:

All agreed.
 
3.    Team selection / developments
 
The committee is still awaiting confirmation from the identified Captain and Vice Captain for the 3rd team.  Andrea Boulton is going to chase this up.
 
Louise Preston informed the meeting that she has now received the password to enable her access on to the Manchester Women’s Hockey League website.  She will retrieve the full details of the times for all games and circulate them to the committee asap.
 
Andrea Boulton updated the meeting about the new trainer Lars Pevro.  He is now set to start and will attend the first training session on Thursday 13th September 2007.  Stockport Council were unable to assist in completing his CRB check.  Andrea Boulton has some contacts which she will pursue to ensure this is completed asap.  The committee discussed the need to be vigilant about Child Protection issues in the absence of Lars Pevro’s CRB check.  The committee has already identified 2 Welfare Officer’s for the club.  These are Edna Brown for Senior players and Julie Gavin for Junior players.  In addition there are a number of the committee who are also trained in Child Protection and will ensure that all the juniors are supervised until the CRB check is completed.  Adam will also be attending the training sessions to assist Lars Pevro to ensure all abilities are catered for.  Andrea Boulton will also carry out Goal Keeper training.
 
Andrea Boulton reported that she has received 24 registration forms from players.  She has compiled a spreadsheet with all the information, which can be filtered into teams.  It was agreed that committee members could have access to the whole spreadsheet, and that Captains and Vice Captains could gave access to the details of their individual teams.
 
Josie Moore has designed a club registration form which was agreed and will be circulated to all Captains by email.  They will also be available on the Club’s website where they can be downloaded.  She has also devised a match fee collection form to assist Captain’s in collecting the money each week.  These must then be given to Josie at the following training session.  In addition to assist Captain’s etc, Josie Moore is creating a pack for each team.  This will not be ready for the start of the season, but she will complete it asap.
 
4.    Constitution
 
The constitution will be included in the club’s handbook.  Andrea Boulton has agreed to change the title of Club President to Club Chair before it is sent for printing.
 
5.    Fees
 
The committee revisited the charges for registration.  It was discussed and agreed that the following fees should apply for the forthcoming 2007/2008 season:

 Existing Senior players  £60.00
 New Senior players  £70.00
 New and existing Junior players  £40.00
 New and existing Leisure Key Holders  £50.00

The reason for the slight change to the Senior players registration fee is that it was agreed existing players for the first season should have the contributions made from Stockport Ladies Hockey League acknowledged.  The registration fees and match fees will be reviewed at the end of the season.

The issue of insurance was raised.  Andrea Boulton is going to speak to Helen Elcock about this and report to the next meeting.

Josie Moore reported that she has received 2 players registration fees already.  Captains and Vice Captains to emphasis to the players that the full registration fee is due by the end of October 2007.

6.    Kit Update

Angela Fuggle will now collect the Goal Keeper’s kit.
 
Hilary Clamp e mailed an update regarding obtaining sponsorship for the club.  A couple of companies have expressed their interest but are yet to confirm.  Hilary will continue to pursue this and report back asap.

7.    FRESH Worthy Tournament

Louise Preston updated progress.  She has contacted the Manchester League’s Umpire Secretary (Bob Ashton) and he has spoke about bringing other teams from the league to try them out and to provide experience for their young umpires.  Louise Preston is pursuing this and the committee agreed that we would expand the tournament.  Werneth have been contacted and the time of the tournament has now been changed to 12pm - 4pm.

Andrea Boulton and Louise Preston have spoken to all the young umpires so should be plenty of availability on the day.

Due to the changes in the dynamics of the tournament, we agreed that the emphasis feels slightly more competitive.  Louise Preston is now going to organise medal opposed to sweets as originally planned. 

The schedule of matches will be given on the day, which Jan Gough and Louise Preston will organise including the umpires.
 
Hilary Clamp has spoken to Edna Brown about bringing her table and air horn.  She has also kindly agreed to complete the scoring for the tournament.
 
Louise Preston has bought bibs (a bargain from “NETTO”, £1 each) and spoke about the match ball remaining on the pitch, which we all agreed with.
 
We discussed the presentation of the Kenworthy trophy and agreed that if an outside team won the tournament, then the trophy could be presented but not taken away.
 
8.    Funding applications
 
No further update at this meeting.  To be bought back to the next meeting.
 
9.    Website
 
Andrea Boulton reported that the website has received 3 emails of interest from new players.  She has invited them to the FRESH Worthy tournament and to the training sessions.

10.   Any Other Business
 
Wendy Van Tonder is organising the format of the new handbook.  She informed the meeting that Hilary Clamp has confirmed that Edna Brown’s son is happy to print the handbooks when  we are ready.
 
It was agreed that from the start of the new season all committee meetings will be held once again at Stockport Cricket Club.  These will take place on the first Wednesday of every month at 8pm to carry on the spirit of the Stockport and District Women’s Hockey League and also because Jan Gough will forget if we change it!!
